A Solar PPA invoice should be traceable to the agreed meter and contract period. If two files show different totals, first compare their boundaries and timestamps. A difference does not establish that either the equipment or the invoice is wrong.

Check the meter, dates and completeness
These first three checks establish whether the records describe the same electricity.
1. Settlement meter
Match the meter identifier and measurement point to the contract. Keep inverter production as a separate comparison unless it is the agreed billing source.
2. Billing period
Use identical opening and closing times, including the time zone. Retain opening and closing readings when cumulative counters are used.
3. Data completeness
Identify missing, duplicate or delayed records. Record meter replacements or counter resets and handle estimates only under the agreed procedure.
Check the applicable rate and adjustments
Keep the commercial checks separate from the energy-data checks so the reviewer can locate a discrepancy.
4. Contract version and rate
Use the version effective during the billing period, including any valid price change. Do not copy last month’s rate without checking.
5. Approved adjustments
Identify agreed corrections, credits and other relevant invoice items. Link each item to its explanation and approval record.

Reconcile once, retain the reviewed version
Our suggested close-out record contains the source files, proposed amount, variance explanation, reviewer and review date. If a corrected file arrives later, preserve the earlier version and document the reason for reopening the period.
Use the same record in discussion
Give the customer and billing staff an identifiable statement version so they compare the same figures.
Frequently asked questions
Can missing intervals be entered as zero?
Only if zero is a verified measurement. Missing data and no generation are different states; an estimate needs a documented basis.
Why might the inverter and settlement meter disagree?
They may cover different boundaries or periods, or have incomplete records. Check those differences before assessing equipment accuracy.
Review the PPA billing workflow
Solar PPA Billing Software brings contract-based electricity, invoices and payment status together. Use a completed billing period to assess whether the workflow matches the agreements being managed.
