The newest file in a folder is not necessarily the drawing approved for assembly. Machine builders should identify the authorised revision, effective date and affected equipment or job. A quality management system (QMS) supports a document register and acknowledgement process so staff can check one agreed status.

1. Start where old revisions create rework
ISO 9001:2026 was published on 16 September 2026. This is a useful occasion to review existing quality practices. For machine assembly, choose one document type that regularly causes confusion.
Identify the active revision
Separate draft, awaiting approval, effective and withdrawn statuses. Assign a document owner and a revision identifier.
Define where it applies
State the machine model, serial number or work order covered by the drawing. Similar filenames are insufficient evidence of applicability.

2. Check that the change reached the work
When drawings change, the supervisor should assess ordered components, completed assembly and service instructions. Acknowledging a document does not prove that every affected job has been corrected.
Before assembly
Staff check the revision against the register. Supervisors manage obsolete copies at workstations through the organisation’s agreed procedure.
During an active job
Identify work requiring review and work that may continue. The responsible person approves the decision and records its basis against the actual impact.
3. Measure correction hours separately
Document review takes time. Compare that effort with the material and labour used to correct work based on the wrong revision, rather than counting uploaded files.
Use the right cause
Track wrong-revision incidents, correction hours and replaced materials. Keep design mistakes separate so the measure describes document control accurately.
Pilot one assembly group
Test approval, revision changes and acknowledgement for one group of drawings, then inspect whether the physical work references the correct version.
