Chemical stock held for a long time may remain saleable, but managers need to know whether it lacks demand, is reserved or awaits a quality decision. Reducing slow-moving inventory costs begins by separating these reasons. A warehouse management system (WMS) supplies lot, reservation and status records for purchasing and sales reviews, rather than instructing staff to clear every old lot.

1. Separate dates and statuses
Stock age starts at receipt. Expiry and retest dates are product requirements and must be reviewed separately.
Create useful review groups
Show unreserved, pending-review, held and released quantities, together with the last movement date and reason for the hold.
Retesting is not automatic life extension
Quality staff follow the manufacturer’s requirements when a retest becomes due. A new receipt record or replacement label does not reset product life.

2. Base purchasing on usable stock
Sales, purchasing and quality staff need the same view before deciding to buy more or offer existing stock.
Check eligible customers
Review approved manufacturer, grade, pack size and remaining shelf life. A shared chemical name does not establish interchangeability.
Include incoming commitments
Compare usable stock with open purchase orders and confirmed demand. Assign authority for postponing or changing purchases.
3. Track money and space separately
Holding costs and the value of stock held are different measures. Do not add them together as one savings claim.
Practical review measures
Track non-moving stock value, days awaiting a decision and actual storage charges. Assign a responsible person to each lot.
Check the eventual result
Determine whether a purchase was avoided by using existing stock or merely delayed. Include discounts and additional handling costs when evaluating the action.

Should every old lot be discounted?
No. Check quality, eligibility for sale and demand first. Pricing remains a business decision rather than an automatic consequence of the aging report.
How is this different from FEFO?
FEFO orders eligible lots for dispatch by expiry. A slow-stock review supports purchasing, sales and quality decisions before the picking stage.
