Reducing cold-storage costs starts with understanding the billing basis and the quantities held during each period. A warehouse management system (WMS) can record receipts, withdrawals and handovers for reconciliation. A disputed item may be an error or a valid contractual minimum, so establish which it is before requesting an invoice correction.

1. Agree the basis and start-stop events
Storage charges may use pallets, cartons, weight or space, with different daily or periodic rules.
Read the complete terms
Record minimums, rounding, receipt and handover dates, and partial-withdrawal treatment. Retain the contract version applicable to the depositor.
Use the same event
A withdrawal request is not proof that goods physically left. Agree which event stops storage charging and retain its evidence.

2. Reconcile partial withdrawals
Review opening stock, receipts, withdrawals, returns and adjustments. Keep carton quantity and actual weight separate.
Illustrative case
Receiving 100 cartons and withdrawing 30 leaves 70 cartons. The charge may remain unchanged if the contract bills by pallet or applies a minimum.
Use history, not today’s balance
Daily charges need the quantities and dates used in the calculation. A month-end balance alone cannot explain the entire billing period.
3. Separate recording corrections from storage planning
Prepare questioned items with supporting documents so the depositor, warehouse and finance staff review the same events.
Incorrect records
Investigate duplicate handovers, incorrect units or incomplete returns. Authorized corrections should preserve the original history.
Charges matching the contract
Use the findings to plan future receipt and withdrawal cycles. Include freight and quality requirements; additional delivery trips can raise total cost.
Frequently asked questions
Will every partial withdrawal lower storage charges?
No. The billing unit, minimum and contract period determine the result. Test actual invoices before configuring the calculation.
Does WMS replace the accounting system?
Agree whether WMS calculates charges or supplies source transactions, together with approval and adjustment interfaces to accounting.
